Urgent Issues

What should I do if I'm locked out?

If it isn't urgent, send us an email with your name, property number and the expected time you can be at your home. We will arrange a meeting with you to let you back into the residence. Please keep in mind that you will be asked to show a proof of identification.

However, if you need or want to go back into your home immediately, please give us a call. We do our best to help you as soon as possible. You can call us on the following number: +31 (0) 88 - 178 00 00.

The costs for the lockout are as follows:

  • Lockout during office hours (Monday to Friday 9:00-17:00): € 25

  • Lockout outside office hours & on national holidays: € 175


Some complexes use special iLOQ locks that can be programmed remotely. Avoid hiring independent locksmiths, as they will break the lock, and we will charge you for the lock replacement afterwards.


What should I do if I've lost my key?
Please send us an email or call us and we will arrange a new key for you. The cost for a new entrance door key is € 100. The costs for the key to the meter cupboard or mailbox are € 25. An invoice will be sent to you, which must be paid within 5 days.

How can I file a complaint about nuisance?

Are you experiencing noise disturbance during night hours, garbage in the wrong places or other nuisances caused by your neighbors?

  1. Talk to neighbors
    It is important that you first try to talk to your neighbors or text in the group chat of the complex. It might be that they are not aware that they are disturbing others and will stop after you let them know.

  2. Report it to us
    If unresolved, submit your complaint via the form at the bottom of this page. We will contact the resident and work on a solution.


Booking a property

What if the property I want to rent isn't available?
If the property you wish to rent is not currently available on our website, it is currently fully booked.

We do not have an official waiting list for our properties due to the high demand. Please keep an eye out on our website to see if something becomes available. If someone terminates their contract, we post the new availability on our website on working days.

After completing the application form you will receive a confirmation email, indicating that your application has been received and is being processed. We will carefully review your application and send you a final confirmation later. In case, more people have applied, the selection is randomized, given that you meet the criteria.

What are the requirements to rent a property?
Rental requirements vary by complex where you may want to live. If you want to live in a student complex, you must be able to prove that you are a student through an admission letter from your university. After graduation or if you don't wish to continue your studies, you are allowed to stay for 6 more months in the residence before you have to move out.

As for your financial situation, it is enough for us to know your source of income. If you want to live in a complex for starters, such as The Wing, The Rumour, or De Wester, we ask for your three most recent payslips.

Lottery
A lottery is only carried out when we receive multiple applications for the same property. In those cases, we use an automated system to ensure a fair and transparent selection process.


This system considers a number of predefined criteria, including:


  • Motivation: The motivation you include in your application helps us understand why you are interested in this specific property and how well your situation aligns with the intended living concept.
  • We also consider the balance within the community, such as a mix of students and young professionals, or a balance between shorter and longer-term residents.

  • Please note that submitting an application does not automatically guarantee an offer.


    We recognize that this can be frustrating, especially in a competitive housing market, but we do our best to ensure the process remains fair and consistent for all applicants.


General Information

Are the residences furnished?
Our student residences are fully furnished, but some of our complexes also come unfurnished. If you want more information about a specific property, please check our website to see what is included in the price.

All of the furniture in the room needs to be in the residence, when you are moving out. If you plan on adding your own furniture, make sure it is no longer there, when you are moving out.

Am I allowed to put up decorations in my residence?
We invite you to add your own decorations, such as posters, plants or other fun accessories, to make the residence feel like your home, but it is not allowed to drill or pin anything into walls, doors or floors that might cause damage to the room.

Is internet and TV available in the residence?
In most of our complexes, each home has its own router with private internet (wireless and fixed). However, there are a few exceptions. View the property on our website see if internet & TV are included in your rental.

Are pets allowed?

Pets are not allowed in our buildings. An exception is made for assistance dogs with a valid IGDF or ADI certification.

Examples of assistance dogs include:

  • Guide dog: for people who are blind or visually impaired.

  • Hearing dog (signal dog): for people who are deaf or hard of hearing.

  • Service dog (ADL): assists with daily activities, for example for people using a wheelchair.

  • PTSD service dog: provides support to people with post-traumatic stress disorder.

  • Epilepsy/seizure alert dog: alerts in the event of a seizure.


Is smoking allowed in the building?
To ensure a healthy environment, smoking (including e-cigarettes) is prohibited inside the buildings and homes. Renters are responsible for any damage caused by smoking at the end of the rental period.

Smoking is permitted outside, but please dispose of your cigarette butts in the designated bins.

How does the trash card (Afvalpas) system work in Tilburg?
In Tilburg, all residences come with an Afvalpas, which is a municipality issued trash card to a specific address. In case, you don't see it upon moving in, please make sure to inform us. If you lose it, you have to order a new one from the municipality via this website. The cost of a new trash card is €12.50.

Sustainability Tips
We attach great importance to sustainability and would like to contribute to a better world. That is why we would like to share some tips with you to help us with this:

  • Turn off electrical appliances when not in use.
  • A normal indoor temperature in the Netherlands is about 20°C.
  • Set the heating to 17°C in winter when you are not at home.
  • Separate your waste (plastic, paper, kitchen/green waste and residual waste).
  • Don't leave the tap and shower running unnecessarily.
  • Recycle empty batteries.

Intercom
Most of our buildings are equipped with an intercom from Solutio365. Within 1 hour after checking in, you will receive an email from them with your account details to their portal. You can manage the following things in this portal, depending on the building you live in:


  • Your intercom phone number and 'active hours'
  • The name and password of your apartment's WiFi router

The intercom system lets you open the entrance of the building when someone calls your name. This is how it works:


  1. Visitors call by typing your house number or name on the display of the intercom, at the entrance of the building.
  2. The intercom calls you, the resident, on your phone number. This will appear as a regular call on your phone.
  3. Answer your phone to communicate with the visitor.
  4. To open the front door, press combination 199 on your phone's keypad.

If you live in a building with a Solutio-powered intercom, and have not yet received an email from Solutio within an hour after checking in, please contact us at rent@magisrealestate.com so we can still set up your account.


Moving in

How much deposit do I need to pay and when will I get it back?
Before you check in, we ask you to pay a deposit amounting to one full month's rent, including extra costs such as furniture rental, service and energy costs. At the end of the rental contract, we will refund the deposit after you submit the proof of deregistration from the municipality.

However, cleaning costs and repair costs in case of damage will be subtracted from the deposit. The minimum cleaning costs for a final inspection are €50 excl. 9% VAT.

When do I need to pay a prepaid security deposit?
If your rental period starts one or two months after the contract is signed, we will ask you to pay a €500 prepaid security deposit. The remaining deposit and first month's rent can be paid before the date that the contract starts.

How does the check-in process work?
In most cases, the appointment will take place on the first day of the new month. However, if this day falls on a weekend or a National holiday, we will schedule the appointment on the next working day. We will explain everything about the complex and your home. After check-in, you will be able to view the report in the tenant portal.

In The City keys can be collected at the Service desk on the first working day of the month after 14:00. Please inform us if you plan to arrive at a later date or outside of working hours. Our employees are going to welcome you and tell you about a self check-in that you can fill out 72 hours after moving in.

What are the costs if I want to cancel my contract before the start date?
If you want to cancel your rental contract before it starts, you will be charged a cancellation fee. If you do this more than a month before the start of the rental period, the costs are €250. If you do it less than a month before the contract starts, then we will charge you €500. If applicable, these costs will be deducted from the prepaid security deposit.

Moving out

What happens during the pre-inspection?
Two weeks before you leave your home, we will visit you for a pre-inspection. During this inspection, we will discuss with you which work is required to prepare the house for the new tenant. As a tenant, we also give tips to minimize the costs for any repairs and cleaning at check-out. The pre-inspection report can be found in the tenant portal and will also be sent separately by e-mail.

How does the check-out process work?
We schedule the final inspection, and key handover takes place simultaneously on the last day of the month between 9:00 AM and 11:00 AM. However, if this day falls on a weekend or a national holiday, we will schedule the check-out on the last working day prior to the weekend or holiday.

After check-out we will send you the check-out report by email, as you will no longer have access to the tenant portal.

What do I need to do to get my deposit back?
In order to refund the deposit, we need proof of deregistration from the municipality and your bank account details. Final cleaning costs and repair costs (if applicable) that will arise from the check-out will be deducted from the deposit. The minimum cleaning costs for a final cleaning are €50 excl. 9% VAT.

If you want to get back as much of the deposit as possible, please make sure that the residence is properly cleaned before the check-out and that you to use the furniture with care.

Rent and taxes

How is the rent calculated?
We use the points system of the government when determining the maximum rental price of a home. This system assesses various aspects of the home, such as the surface area and the energy label, and also includes the WOZ value in the calculation. In this way we always ensure a fair rental price for your home.

How can I pay the rent?
Paying the rent may differ depending on whether you have a Dutch or foreign bank account. Residents with foreign bank accounts must transfer the rent monthly before the first day of the following month to the bank account of the complex in which they live, as stated on the monthly rental invoice. Any additional costs for international transfers must be paid by the tenant.

Tenants with a Dutch bank account can request a direct debit to pay the rent.

When and how can the rent be increased?
We adjust the net rent (the basic rent without service costs) every year. The government determines the maximum percentage by which the rent may increase. You will receive an e-mail from us with the new rental price before May 1st. The adjustment of the rent always takes effect on July 1st.

Am I eligible for rent allowance?
If you are going to rent, rent allowance can help you save money. To be eligible for rent allowance, you must meet a number of criteria, which are specified on the website of the Dutch Tax Authorities (Belastingdienst). You can make a test calculation yourself to see how much housing allowance you are entitled to.

When completing the application for rent benefit, you state the basic rent per month, without any additional costs.
You can apply for rent benefit directly from the tax authorities. Please note that this site is only available in Dutch.

What is included in the service costs?
Service costs differ per complex and is determined annually on the basis of estimated costs for services and supplies such as internet, TV, cleaning of common areas, garden maintenance and maintenance of furniture in the common areas.

The advance amount for the service costs is determined according to the rules of the rent assessment committee and can be adjusted annually if the actual costs are higher than the advance amount. At the end of the year, the actual costs will be settled with the advance amount and you will receive a statement. If you have paid too much, you will be refunded the overpaid amount and if you have paid too little, you will receive a separate bill.

If you move, you will receive a settlement of the service costs no later than six months after the end of the calendar year in which you move. The service costs are only calculated over the months in which you have rented the property.

How are water and energy costs calculated?
Service costs differ per complex and is determined annually on the basis of estimated costs based on average consumption.

The advance amount for the water and energy costs are determined according to the rules of the rent assessment committee and can be adjusted annually if the actual costs are higher than the advance amount.

At the end of the year, the actual costs will be settled with the advance amount and you will receive a statement. If you have paid too much, you will be refunded the overpaid amount and if you have paid too little, you will receive a separate bill. If you move, you will receive a settlement of the service costs no later than six months after the end of the calendar year in which you move.

What are the costs for renting furniture?
When renting a furnished home, the costs for the furniture are added to your monthly rent. This amount is stated in the cost overview. Please make sure that the furniture is not damaged throughout your stay.

What municipal taxes and levies do I need to pay?
The government collects taxes and duties, which are not considered service charges. This means that the landlord does not offer any services in exchange for these payments. The municipality in which you rent will send you an annual assessment for waste collection charges, water board charges and sewage charges.

If you have a low income, you may be eligible for remission of certain taxes and levies. On the website of the municipality where you rent, you will find information about which taxes and levies apply and how you can apply for a remission.

Maintenance issues

Which repairs do I need to handle myself?
Minor repairs and daily maintenance are your own responsibility, such as cleaning the shower drain if it is full of hair, replacing a light bulb, or changing the battery of the TV remote.

User manuals for the appliences in your residence can be found by scanning the QR code located inside of the utility closet of your residence.

There are spare batteries in The City that you can come and get if you live in The Rumour, The Garden, or Mr.X.

How can I submit a repair request?
If something is broken that you cannot fix yourself, you can submit a repair request online in a few easy steps.

Click here to report an issue in the service portal, or click "Maintenance Portal" in the navigation bar of this page. You can log in with the data you received from us in the email for the "Bloxs" portal. If you have not received this information, please send us an email.

Please describe the issue, upload photos that might help maintenance team understand the problem, and indicate if you give permission for the maintenance team to enter your residence if you are not at home when our team arrives.

How can I check the status of my repair request?

In the Maintenance Portal, you can easily see which repairs you have reported and what we are currently working on. This applies to both repairs in your own home and in the general areas (provided that these have been reported by the resident himself). To ensure that we can start resolving the problem as quickly as possible, we recommend that you use our service portal instead of sending an email.


Saving on Utilities

Tip: Lower your heating
Don't turn on the heater when it's not necessary. Normal room temperature in the Netherlands is between the 19 and 21 degrees Celsius. If the temperature is within this range, wear an extra layer instead of using the heater. Closing doors and windows can help retain warmth. Lowering the thermostat at night or when you're away saves energy and reduces costs.

Tip: Close doors and windows when heating
When trying to heat up your room, close all doors and windows. When you turn on the heater with open doors and windows, we call that heating for the birds.
